Please note

Important notes.

  • The booth fee covers both nights. If you choose to use only one night, your entire sum still applies — it does not reduce the fee.
  • Games: all games are assigned booths and may not be operated outside of a booth. Game operators select from the General / Standard packages.
  • Bringing your own tent truss: exhibitors who supply their own tent truss pay the same price for the booth space occupied.
  • No last-minute booth requests will be accepted, regardless of how far you have travelled.
  • Power & electrical supply: the standard supply is 240V. Exhibitors who require 110V must bring their own transformers.
  • Auto Sale & Heavy Machinery: display vehicles are free and must stay within the allocated booth space. All display vehicles must be on the ground by 2 PM on Friday.
  • Waste management: waste from restocking should be bagged and placed neatly for the ECCI grounds team to dispose of. All booths must be cleared by 12 noon on Sunday after the Expo.

Terms & Conditions.

Before completing the registration form, all prospective exhibitors must read, understand, and agree to abide by the following official rules and regulations of Essequibo Expo 2026.

A · Registration, Mandatory Approval Process & Sector Packages

Approval Rule: All applications must be formally approved by the Expo Committee before any payment is made. Once your application is submitted, it will be thoroughly reviewed, and you will receive an official notification of approval. Payment can only be executed after you are in receipt of this approval.

Payment Disclaimer: Any person or entity that sends money prior to receiving formal application approval is not guaranteed a booth space.

Sector-Specific Pricing: These exhibitor packages have been strictly engineered and designated for specific commercial sectors. Even though certain tiers may offer identical physical booth space measurements, the rates and allocations are bound to the specific package approved by the Chamber for that sector. Any custom arrangement or special request to deviate from these approved structures will be subject entirely to space availability and the final, explicit approval of ECCI.

Booth Fees: Once approved, full payment for booth allocation must be executed via Mobile Money Guyana (MMG) or via direct Bank Transfer / Deposit into the ECCI banking account.

B · Furniture Allocation & Cautionary Deposits

Package Allowances: Tables and chairs are strictly assigned per the specific package details outlined in Section 1.

Cautionary Deposit: A mandatory, refundable cautionary deposit is required for all booth-related assets — Tables: $10,000 each, Chairs: $1,000 each.

Deposit Timing: This cautionary deposit may be settled concurrently with your primary booth payment (post-approval) or as a separate transaction prior to venue entry.

Asset Accountability: Upon physical receipt of the allocated tables and chairs, the vendor assumes sole custodial responsibility. If any tables or chairs are damaged, broken, or lost during the event, the vendor is legally obligated to replace them or forfeit the respective deposit amount.

Furniture Disclaimer: The structural package price for each tier is fixed. Should an exhibitor choose to utilise their own customised furniture or display setups, the total booth cost remains completely unaffected. No deductions or discounts will be issued.

C · Logistics, Waste Management & Infrastructure

Waste Management & Cleanliness: ECCI will be responsible for the final removal of all waste from the venue grounds. However, vendors are strictly required to keep their immediate surroundings clean and ensure that no garbage overflows or spills into the walkways.

Garbage Disposal: Standard waste bins will be deployed across the grounds, supplemented by large skip bins for heavier disposal. If the bins near your booth become filled, please immediately notify the ECCI Information Desk so that cleaning staff can be dispatched.

Power and Electrical Supply: The Chamber provides a standardised 240V power point to all booths. The Chamber assumes absolutely no liability for any electrical damage, power fluctuations, or hardware failure affecting an exhibitor's electronic items, machinery, or appliances. Exhibitors are strongly advised to utilise heavy-duty surge protectors.

Custom Adjustments: Any custom structural setups, extensions, or modifications that deviate from the predetermined event grid layout are strictly prohibited unless formally negotiated with, and authorised in writing by, the ECCI Expo Committee.

Promotional Banners & Fencing: The placement of marketing banners, flags, and promotional signage along the venue perimeter fencing is allocated on a strict first-come, first-served basis.

D · On-Site Operations, Security, and Conduct

ECCI Information Desk: A dedicated, fully staffed Information Desk will be operational on both nights. Please direct all live queries, logistical challenges, maintenance needs, or clean-up requests to the desk.

Asset Security: While general venue perimeter security is maintained by the Chamber, individual exhibitors retain full, exclusive responsibility for the safekeeping, monitoring, and security of all inventory, assets, and personal items within their booth space.

Prohibited Activities: To maintain a family-friendly and professional environment, no gambling of any form — including local "chic chic" boards or unapproved games of chance — is permitted anywhere on the Anna Regina Secondary School Ground. Violation will result in immediate eviction without a refund.

Package Upliftment: Exhibitors must explicitly designate an authorised Contact Person on the registration form who will be the sole individual responsible for coordinating with Chamber representatives to uplift exhibitor credentials, vehicle passes, and administrative packages.

Acknowledgement

By proceeding to the registration form, you acknowledge that you have read, understood, and agree to conform to the registration process, sector package restrictions, approval rules, fee structures, waste protocols, and operational guidelines outlined above. Do not send payment until your approval confirmation has been issued.
